In consideration of InGLOW Fitness & Wellbeing allowing the birthday child and their guests to participate in the glow birthday party, the parents/guardians of the birthday child (hereinafter referred to as “the Parents”) agree to the following terms and conditions:
1. *Non-Refundable Deposit:* A non-refundable deposit of $50 is required at the time of booking, paid either to InGLOW Fitness & Wellbeing’s account or through the website. This deposit will not be refunded under any circumstances.
2. *Medical Conditions and Safety:* The Parents acknowledge that they are responsible for ensuring that all guests attending the party do not have any medical conditions that may be triggered or exacerbated by the party’s activities, including but not limited to epilepsy. The Parents also understand that this is an active party in a dark environment, and while we take every precaution, collisions may still occur. The Parents release and hold harmless InGLOW Fitness & Wellbeing from any claims or liabilities arising from any medical conditions or reactions to the party’s activities.
3. *Supervision:* The Parents are responsible for supervising their child and all guests during the party. The Parents understand that the party will take place in a gym environment with equipment and will ensure that all guests are aware of and comply with the rules regarding gym equipment use. Guests are not allowed on the gym equipment, and the Parents acknowledge that InGLOW Fitness & Wellbeing is not liable for any accidents or injuries resulting from failure to comply with this rule.
4. *Damage to Property:* The Parents are responsible for any damage caused to the Seaford Recreation Centre or any other venue prearranged for the party, by the birthday child or their guests. The Parents agree to pay for any damages or losses incurred.
5. *Behaviour Expectations:* The Parents understand that all guests are expected to behave in a respectful and safe manner during the party. This includes, but is not limited to:
– Respecting the room and equipment
– Not touching or tampering with any equipment or lights
– Not engaging in any behaviour that could be considered disruptive or hazardous
– Following instructions from InGLOW Fitness & Wellbeing staff
The Parents acknowledge that failure to comply with these expectations may result in the party being terminated, and InGLOW Fitness & Wellbeing reserves the right to seek compensation for any damages or losses incurred.
6. *UV Face Paint and Glow Tattoos:* InGLOW Fitness & Wellbeing will provide UV face paint and/or glow tattoos for the party. The Parents acknowledge that some guests may experience skin reactions to these products, and the Parents release and hold harmless InGLOW Fitness & Wellbeing from any claims or liabilities arising from any skin reactions. Some crack-style glowsticks will be provided for the party.
7. *Photography and Social Media:* The Parents consent to the use of photography and videography by InGLOW Fitness & Wellbeing for promotional purposes. The Parents also understand that they are responsible for ensuring that any photography or videography taken by guests during the party does not infringe on the rights of others.
8. *Party Duration and Changeover:* The party will run for 90 minutes unless a longer duration has been prearranged with InGLOW Fitness & Wellbeing. There will be a 30-minute changeover time between parties, during which time the previous party must vacate the premises and the next party may begin setting up. During this time, parents for the next party may bring in food and decorations.
9. *Venue:* The party will be held at Seaford Recreation Centre unless a different venue has been prearranged with InGLOW Fitness & Wellbeing. If an alternative venue is used, the Parents are responsible for hiring the venue and ensuring that it meets all necessary requirements. Travel fees may apply for InGLOW Fitness & Wellbeing staff.
10. *Costs:* The party costs are as follows:
– Saturdays: $270
– Sundays: $370
These costs include the hire fees for the Seaford Recreation Centre and are inclusive of unlimited children (within reason) for the booked party duration. Additional time can be added at a rate of $50 per 30 minutes.
11. *Food and Crèche Facilities:*
– The crèche facility at Seaford Rec is available for use at no extra charge and includes a small kitchenette with a sink and mini fridge. However, there are NO food warming facilities available.
– Tables and chairs can be utilised in the crèche area, but the Parents must ensure that:
– No glowsticks or connectors are brought into the crèche area due to choking hazards for babies.

– Food is only consumed on the vinyl flooring to prevent damage.
– Any damages to toys or equipment in the crèche area are reported and replaced/reimbursed.
– Alternatively, tables and chairs can be moved to the grass area outside or to the area adjacent to court 3 for food and party activities.
11. *Cancellation Policy:* In the event that Chelsea or one of her team becomes unable to host the party, the Parents will be given several options:
– Move the party to a different date
– Receive a partial refund and use the room, lights, and equipment for an unhosted party
– Receive a full refund and cancellation of the party
